An Extensive Guide for Understanding the Working of PST to Office 365 Migration Tool

The DRS PST to Office 365 Migration tool helps you to import Outlook PST files to Office 365, within a few simple steps. It has an interactive GUI to help all kinds of easily operate the tool. But if you are new to this tool, this guide will help understandyou the different functionalities and the proper working of the tool.

Follow the Steps Below to Migrate Outlook PST to Office 365:

Step 1: Download and install the DRS PST to Office 365 Migration Tool. Run it as administrator. The first interface of the tool will appear as shown:

Step 2: Click on the Restore button to proceed.

Step 3: Next, you will see a brief explanation of the migration process. Click on the Continue button to proceed further.

Step 4: Choose the PST out of two options (PST and OST). Further, to select a single PST file opt for the Select Single File Option. Or, you can choose the Select Folder option to add an entire folder containing PST file(s).

Step 5: Let us move forward with the Select Single File Option. Then, click on the Select File button to select the path of the PST file.

Step 6: From the File Explorer, locate the PST file, you want to import to Office 365. Click Open to add files to the tool.

Step 7: Once you add the PST file (or folder with PST files), click on Next.

Step 8: In the Map Users section, choose the Google Workspace ID/s to which you want to migrate Office 365 mailbox. Click Next to proceed further.Next, you will see the list of PST files selected. We chose a single PST, it will display only one PST file in the list. Tap Next.

(Note: To remove any PST file, click on the file name from the list and tap Remove. To remove all PST at once, click on Remove All.)

Step 9: In the Restore Option, you will see Office 365 as the destination email client.

To log in to Office 365 you can:

  • Use Modern Authentication (Recommended)
  • Or Modern Authentication (By Using the User Client ID and Secret)

Step 10: If you choose the Modern Authentication option, enter the User Name and click on the Sign In button. You will be directed to the browser for Login authentication.

(Assign Impersonation: Check the Assign Impersonation checkbox to add multiple user accounts of Office 365.)

Step 11: Choose the desired Office 365 account(Logged in already). You will see the Authentication Successful message on the screen. Return to the tool.

Step 12: If you choose Modern Authentication (Using User Client ID and secret), you need to enter a valid Application(Client) ID, Directory (Tenant) ID, Secret Value, and Microsoft Azure Admin ID. And, Click on Authenticate to proceed.

( Click on the link provided at the top of the page to Create an Azure Active Directory Application.)

Step 13: Once you are successfully logged in to the Office 365 account, you will see various migration options on the screen. You can select:

  • Remove Duplicates on the Basis of To, From, Subject BCC: to remove duplicate Mail, Calendars, Contacts, Tasks, and Notes based on certain parameters.
  • Save Mail Without Attachments: To import your Outlook emails without attachment files.

Step 14: Apart from this, you can also apply:

  • Date Filter: to import data from a specific date range. Just specify the start and end date and your data will be migrated from that particular date range.
  • Custom Folder Name: This feature allows you to provide a desired name to the destination folder where your data will be saved.

Step 15: In the map user section, choose the Office 365 user account you are moving data to. Click Next.

Step 16: Check the destination email account and choose the folder (Mailbox, Public Folder, or Online archive) where PST file data will be saved. Click on Convert to begin the migration of PST file data to the Office365 account.

Step 17: After the migration is complete, you will get a pop-up “Migration has been completed.” Click Ok.

The tool can also import OST files to Office 365, proficiently. Follow steps 1 to 3 as mentioned above and further from step 4.

Step 4: Choose OST among two options(PST and OST). Choose either the ‘Select Single File’ or ‘Select Folder’ option to add OST files to the tool.

Step 5: Choose OST file(s) from the File Explorer and click Open to add it to the tool. Then, click Next to proceed.

Step 6: You see the list of selected OST files. Click Next.

Step 7: Log in to your Office 365 account using ‘Use Modern Authentication’ or ‘Modern Authentication ( by using User client ID and Secret).’ Once you are successfully logged in to Office 365, return to the tool.

Step 8: Again, choose different migration options if needed.

  • Select the Remove Duplicates on the Basis of To, From, Subject BCC option to remove duplicates from the OST file.
  • Save Mail Without Attachments allows you to import OST files excluding attachment files.

Step 9: Other filters include:

  • Opt for the Date Filter to import data from a specific date range.
  • Custom Folder Name allows you to provide a name to the destination folder of your choice.

Tap on Next.

Step 10: Choose the destination user ID you want to migrate OST file data to. Click on Next.

  • Select the Remove Duplicates on the Basis of To, From, Subject BCC option to remove duplicates from the OST file.
  • Save Mail Without Attachments allows you to import OST files excluding attachment files.

Tap on Next.

Step 11: Choose the destination user ID and the folder (Mailbox, Public Folder, or Online archive) where OST file data will be saved. Click on Convert to begin the migration.
